The Challenge 

The organisation had a heavy reliance on manual data collection and collation, with staff spending a significant amount of time on administrative, repetitive tasks to try and keep information up to date. Capability Scotland realised that to increase the efficiency and productivity of their operations they had to streamline their processes. To achieve this, having a reliable, scalable, and flexible IT operation was vital and so they engaged with Exception to help make this vision a reality.  

Our Approach 

For Capability Scotland to become more efficient and productive, it was essential the team had access to the right tools and technology. Following discovery and requirements gathering, Exception recommended implementing Office 365, removing reliance on legacy bespoke systems and fully digitising business processes which would significantly reduce the time staff had to spend on administrative tasks. Exception managed the programme on behalf of Capability Scotland, providing advice and support from the initial discovery phase definition, vendor procurement, vendor management and implementation. 

The Result 

Full roll out of Office 365 is nearing completion. Having this in place will allow the team to work from anywhere easily and securely. Re-engineering business processes will minimise the need for handwritten tasks and re-entering data, making it easier for staff to keep information up to date. By improving internal systems and processes, staff will have more time to focus on providing exemplary care to their service users.
